Job Overview

This role involves providing essential clerical, administrative, and reception assistance to the management and clinical teams within the healthcare facilities, ensuring smooth operations across all administrative functions.

Key Responsibilities

  • Deliver fundamental administrative support to various departments, including outpatient services, emergency care, and inpatient wards as required.
  • Schedule patient appointments in outpatient departments using the hospital's information system, ensuring accuracy and efficiency.
  • Greet and guide visitors to the facility in a polite, considerate, and timely manner.
  • Accurately record messages and relay them to the appropriate personnel promptly.
  • Assist in maintaining an organized key management system within the department.
  • Collaborate with all staff, patients, and healthcare professionals, both within and outside the organization, seeking guidance when necessary.
  • Uphold the confidentiality of sensitive information at all times.
  • Perform various clerical duties at the main reception, including handling phone inquiries, responding to emails, photocopying, requesting patient records, and preparing for clinics.

Job Duties

  • Welcome clients to the different departments within the healthcare facilities.
  • Efficiently manage inquiries, including phone calls, taking messages, and ensuring they reach the right person.
  • Communicate effectively, both in writing and verbally, with internal staff, management, nursing personnel, medical staff, therapists, and external parties such as patients and their families.
  • Adhere to departmental and organizational protocols, policies, and guidelines.
  • Report any incidents, equipment malfunctions, or safety concerns following established procedures.
  • Address facility maintenance issues and follow up as necessary.
  • Work on a rotational basis, including weekends and holidays, to ensure continuous service coverage.
  • Demonstrate reliability and flexibility to meet the evolving needs of the administrative team.
  • Collaborate effectively within a team environment.

Candidate Profile

Required Qualifications

  • Proven experience in a reception or clerical role.
  • Strong relevant IT skills.
  • Experience in face-to-face interactions with the public.

Preferred Qualifications

  • Experience working in a healthcare setting.
  • Familiarity with hospital systems and processes.
