The primary responsibility of this position is to pinpoint critical obstacles through consistent Work In Progress (WIP) assessments, ensure that underlying issues are addressed, prepare billing projections, and enhance billing quality in alignment with established targets. Key responsibilities include:
- Develop and nurture relationships across various departments with stakeholders, administrative staff, and management.
- Participate in regular WIP assessment meetings to gain insights into WIP balances and agree on suitable billing strategies.
- Analyze aged WIP, missed billing objectives, and high WIP/lockup durations while coordinating necessary escalations.
- Oversee and finalize billing forecasts and strive for high-quality billing outcomes.
- Assist in resolving complex billing and electronic billing challenges.
- Coordinate reviews and billing commitments, updating billing statuses for significant matters and clients.
- Evaluate and monitor processing timelines, ensuring actions are approved by management.
- Track non-billable activities related to out-of-scope work, overruns, and expenses.
- Supervise WIP write-off and write-down activities.
- Identify matters requiring escalation to facilitate billing actions and communicate findings to the WIP Management team.
- Examine the practice's WIP ledgers to determine priorities and potential risks.
- Risk and Compliance: Ensure all tasks are executed in accordance with regulatory standards and internal policies.
- Maintain and regularly update WIP activities in line with best practices.
- Generate reports for major client accounts and management as needed.
- Prepare and distribute WIP management-related communications to internal stakeholders.
- Support WIP review and pre-billing processes as necessary.
- Attend portfolio review meetings to address outstanding issues.
- Analyze billing and reversal activities, identifying root causes.
To excel in this role, candidates should possess the following qualifications:
- Prior experience in WIP management or billing roles, preferably within legal or professional services.
- Proven understanding of WIP processes, reporting, and risk management.
- Experience in a legal environment is beneficial but not mandatory.
- Exceptional attention to detail.
- Strong communication skills and the ability to build relationships at all organizational levels.
- Proficient in negotiation and practical problem-solving.
- Able to perform under tight deadlines and pressure.
- Organized and methodical in work approach.
- A collaborative team player with a flexible attitude.
- Demonstrated ability to meet targets and deadlines, both independently and as part of a team.
- Self-motivated and proactive.
- Familiarity with regulatory requirements is preferred.
- Comfortable working with enterprise IT systems, ideally ERPs like Elite 3e.
