Policy, Communications and Public Affairs Support Officer (Permanent)

An exciting opportunity has arisen to join Colleges Scotland. The successful candidate will play a crucial role in delivering comprehensive administrative, planning, and coordination support to the Policy, Communications, and Public Affairs teams, as well as various associated initiatives. This position demands a high level of discretion while managing sensitive information and balancing multiple priorities effectively.
Key Responsibilities
Support for Policy, Communications, and Public Affairs
· Develop and maintain efficient administrative and coordination processes to enhance the team's productivity, with ongoing evaluations.
· Implement robust administrative practices to ensure that outputs meet established quality standards, including the creation and formatting of document templates.
· Provide dedicated administrative assistance to:
o Ensure all communications and materials conform to the established House Style
o Manage emails and calendars proactively, coordinating meetings with diverse stakeholders
o Prepare and distribute accurate agendas and documents
o Record and transcribe key discussions and decisions, distributing minutes to relevant parties
o Issue reports and policy documentation
o Arrange travel and accommodation logistics
o Process expense claims and manage financial documentation
· Proactively collect information and prepare emails, presentations, reports, and briefings.
· Ensure document quality through thorough proofreading.
· Maintain action logs and compile activity reports.
· Provide administrative and planning support for specialized tasks and projects.
· Organize both in-person and virtual events/meetings with multiple participants.
· Liaise with staff, external clients, and stakeholders on behalf of the team.
· Contribute to team meetings and assist with follow-up actions.
· Support team members in developing and executing internal protocols.
· Assist in the organization of key events and engage with stakeholders as needed.
· Provide backup support in the absence of senior administrative personnel.
· Ensure the Central Contacts Access Database is consistently updated.
ICT Support Responsibilities
ICT support will encompass:
· Ensuring all team members have access to necessary ICT resources.
· Assisting staff with video conferencing tools and providing required training.
· Addressing ICT inquiries and coordinating with external service providers.
Website Management Duties
Website management will involve:
· Keeping the Colleges Scotland website and social media platforms current and effectively utilized.
· Ensuring the website, including member access areas, is regularly updated.
· Providing assistance to members and stakeholders in navigating the Colleges Scotland online resources.
