Position Overview
The Healthcare Administrative Coordinator is tasked with a variety of administrative responsibilities and providing essential support to the healthcare team. Responsibilities may include, but are not limited to, the organization and management of documents, processing medical reports and correspondence, and performing reception duties such as welcoming and directing patients, utilizing the appointment scheduling system, and assisting patients as needed.
This role serves as the primary point of contact for patient correspondence, ensuring the effective distribution of information, messages, and inquiries to the clinical team, while collaborating with multidisciplinary team members and external organizations.
Key Responsibilities
Core Duties
The following are the essential duties of the Healthcare Administrative Coordinator. Additional tasks may be assigned based on workload and staffing requirements:
- Oversee and manage the appointment scheduling system
- Process requests for appointments via personal, telephone, and electronic means
- Handle incoming phone calls, transferring or addressing inquiries as appropriate
- Guide patients to the appropriate services
- Initiate and respond to communications from patients, team members, and external organizations
- Photocopy documents as necessary
- Input data for new and temporary patient registrations and relevant information as required (following internal training)
- Update patient healthcare records with necessary information
- Direct requests for information such as Subject Access Requests, insurance letters, and DVLA forms to the administrative team
- Efficiently manage all queries as needed
- Maintain a clean and organized working environment
- Monitor and upkeep the reception area and informational displays
- Assist clinical staff with general tasks as requested
- Complete administrative tasks related to patient results and correspondence
Additional Responsibilities
In addition to the core duties, the Healthcare Administrative Coordinator may be asked to:
- Participate in audits as directed by the audit lead
- Support administrative staff by providing coverage during absences and assisting with training
- Process incoming faxes as necessary
- Scan patient-related documents and attach them to healthcare records (upon completion of internal training)
- Execute opening and closing procedures in accordance with the duty schedule
- Assist in managing repeat prescriptions, ensuring accurate and efficient processing
Qualifications
Essential Requirements
- Educated to GCSE level or equivalent; GCSE Mathematics & English (C or above); AMSPAR Receptionists Qualification; NVQ Level 2 in Health and Social Care
This position is integral to the smooth operation of our healthcare services, ensuring that patient care is prioritized and administrative tasks are handled efficiently.
