The Role

This is a dynamic and varied position supporting the Facilities, Environmental and Sustainability Manager in the management of facilities across all ILG sites.

Key Responsibilities

  • Ensure issues are logged on the HSFI Log and issued to the relevant contractor, monitor repairs, and update accordingly.
  • Coordinate regular inspections and servicing, log issues, and monitor until resolved, maintaining records as necessary.
  • Log all search records.
  • Provide support and organize contractors for routine maintenance, liaise with relevant contractors for emergency call-outs, and regularly review and update preferred contractors' documentation.
  • Assist with site visits, audits, and inspections.
  • Support with insurance questionnaires and site visits.
  • Contribute to the opening of new facilities and any upgrades.
  • Assist with obtaining quotations and raising POs, where appropriate.
  • Support the ILG Green committee and Steering Group, ensuring issues are managed and followed up through Managers, Team Leaders, and Green Champions.
  • Act as secretary to ILG's Green committee, producing agendas and minutes.
  • Update and maintain compliance records for certification audits.
  • Assist in collecting data to produce reports.
  • Research and test new initiatives to improve sustainability.
  • Assist with training and advise on waste management throughout our sites.

Requirements

  • Proven administrative/secretarial ability.
  • Methodical and able to demonstrate the ability to prioritize workload and tasks.
  • Forward thinking.
  • Able to deal with emergency situations.
  • Accurate, demonstrating attention to detail.
  • Strong MS Office skills, particularly Excel and Word.
  • Able to travel to all ILG sites (desirable).
  • Previous experience of an EMS (desirable).
  • Experience of working to a budget (desirable).
