Objective of the Role

The HR Operations Assistant Analyst is responsible for the efficient and timely implementation of the organization's onboarding and internal transfer policies and procedures. This role will offer guidance and support to employees and line managers, ensuring a high standard of HR service is maintained throughout the employee journey at the European Bank for Reconstruction and Development.

The incumbent will work effectively both independently and as an integral member of the People Operations team. They will take ownership of specific key processes and devise tailored solutions to challenges, escalating issues when necessary.

The Assistant Analyst will collaborate with various teams within HR (including Business Partnering, Talent Acquisition, Payroll, etc.) and with designated external service providers (such as pre-employment screening agencies).

Overview of the Department

The HR Operations department is tasked with delivering essential HR functions and services to the organization. The People Operations team, part of this department, is responsible for providing administrative HR support to several Centers of Expertise, including Talent Acquisition and Business Partnering.

This team is client-focused and engages with both internal and external stakeholders to ensure employees are effectively guided through onboarding, internal transfers, and other employment-related events.

Key responsibilities include managing IT coordination tasks for HR, overseeing onboarding and internal transfer processes, maintaining the organization's reporting structure in SAP, and serving as a contact point for various HR processes. The Assistant Analyst champions the organization's People Operations processes, emphasizing continuous improvement.

Key Responsibilities

  • Overseeing the complete onboarding process for all newly recruited staff, ensuring a seamless experience; coordinating with the designated pre-employment screening vendor and providing ongoing support throughout.
  • Taking ownership of onboarding survey evaluations, follow-ups, and necessary escalations.
  • Maintaining SAP HR with a focus on data integrity to ensure operational continuity, particularly regarding critical business reporting; executing necessary checks and actions.
  • Offering tailored advice and problem-solving support for policy inquiries at all employee levels in a timely manner, liaising with HR centers of expertise as needed.
  • Communicating effectively with candidates, staff, line managers, and other HR stakeholders, managing expectations regarding processes.
  • Ensuring the accuracy of EBRD HR Systems to maintain data quality for essential business reporting; executing necessary checks and actions.
  • Preparing and implementing contractual documentation as required by the Talent Acquisition and Business Partnering teams.
  • Managing pre-employment medical screenings and verification processes, liaising with the designated verification agency and escalating concerns as needed.
  • Executing HR administrative transactions accurately and promptly, ensuring they flow into payroll for the entire organization.
  • Demonstrating a comprehensive understanding of all HR elements throughout the employee lifecycle to mitigate legal and reputational risks while meeting business needs.
  • Maintaining the organization's reporting structure in SAP, ensuring timely and accurate data input.
  • Providing backup support to the HR helpdesk as directed by the Associate and in consultation with the Head of HR Operations.
  • Collaborating closely with HR colleagues to identify and provide feedback on potential system and process improvements; participating in testing for system changes and updating relevant information sources.
  • Building strong relationships with internal HR colleagues to ensure clarity in roles during the onboarding process, such as the New Joiner Induction program.
  • Actively participating in ad-hoc HR projects aimed at creating efficiencies through process automation and standardization.
  • Managing administrative tasks as required (filing, archiving, etc.).

Required Skills and Qualifications

  • Proven experience in HR, preferably within the financial services sector.
  • Professional or academic qualifications in a relevant field are desirable.
  • Strong analytical abilities, with precise numerical skills.
  • Excellent communication and presentation skills across all levels.
  • Ability to cultivate strong, lasting relationships with various internal and external stakeholders.
  • Experience in effectively addressing challenges to achieve positive outcomes.
  • Self-motivated with exceptional organizational and administrative skills, attention to detail, and the ability to prioritize and multitask.
  • Capacity to remain composed under pressure and deliver accurate work in a fast-paced environment.
  • Experience exercising sound judgment and adhering to strict deadlines in a demanding client-facing role.
  • Customer service-oriented, responding flexibly and promptly to client needs with outstanding interpersonal skills.
  • Ability to handle sensitive situations and confidential information discreetly.
  • Proficiency in English, both written and spoken.

  • Proficient in Microsoft Office applications, with preferred experience in SuccessFactors, SAP HR, and data warehouse tools.
