Position Overview:


The Third-Party Oversight Coordinator is integral in supporting the Third-Party Oversight Manager in overseeing the management processes of Appointed Representatives (ARs), Introducer Appointed Representatives (IARs), and various third-party distribution partnerships.

This role is essential in providing administrative and operational assistance to ensure that oversight activities are conducted efficiently and effectively.

Key Responsibilities:

Administrative Assistance:
Maintain precise and current records, documentation, and databases for all third-party entities.

Organize and schedule site visits, meetings, and training sessions.

Prepare and distribute meeting agendas, minutes, and other pertinent materials.

Assist in the creation of reports, presentations, and other documentation as needed.

Oversight and Monitoring Assistance:


Support the collection and analysis of data related to complaints, online reviews, customer feedback, quality assurance, and customer outcome metrics.

Aid in coordinating and executing mystery shopping exercises within AR locations.

Monitor and track training completion data for AR personnel.

Assist in preparing AR oversight packages for governance discussions.

Communication and Coordination:
Serve as a liaison between the Third-Party Oversight Manager and third-party entities, ensuring effective communication and coordination.

Organize and schedule check-in calls and regulatory update sessions for Approved Persons.

Assist in distributing regulatory updates, policies, and procedures to third-party entities.

Project and Task Management:
Support the Third-Party Oversight Manager in managing projects and initiatives related to third-party oversight.

Maintain project timelines, task lists, and follow up on outstanding items.

Assist in coordinating and implementing new processes or systems related to third-party oversight.

Continuous Improvement:
Identify opportunities for process enhancement and streamlining within the third-party oversight function.

Propose and implement changes to improve efficiency and effectiveness.

Provide feedback and recommendations to the Third-Party Oversight Manager based on observations and insights.

Qualifications:
Significant experience in the insurance broking industry, or lesser experience supported by professional insurance qualifications.

Strong stakeholder management skills.

Attention to detail and people management capabilities.

Well-developed report writing, verbal and written communication, and presentation skills.

Proficiency in MS Office (Word, Excel, Outlook).

Strong organizational and time management skills.

Effective written and verbal communication abilities.

Ability to influence and engage stakeholders.

Experience in Account Executive-led business and volume telesales environments is advantageous, as is familiarity with marketing materials (Desirable).

Understanding of the insurance placement process (Desirable).
