About the Role

We are seeking a highly skilled and experienced Executive Assistant to provide administrative support to our Chief Operating Officer (COO) and Regional Director (RD). The successful candidate will be responsible for managing their diaries, organizing travel and accommodation, and screening calls and emails to allocate actions as appropriate.

Key Responsibilities
  • Manage the COO's and RD's diaries, setting priorities and arranging meetings and appointments.
  • Organize and arrange travel and accommodation for both domestic and international trips, including provision of itineraries and administration of expenses.
  • Screen calls and emails from internal and external contacts, allocating actions as necessary.
  • Collaborate with the leadership team to support the smooth running of reporting and management information packs.
  • Provide administrative support on projects, including management of deadlines, gathering of information, and ensuring deliverables are met by the team.
  • Coordinate and produce high-quality information within required timescales, including presentations, documents, and spreadsheets.
  • Administer conferences and meetings, ensuring attendance and that agendas are met.
  • Undertake general administration tasks, including correspondence, enquiries, and follow-up.
  • Take minutes at leadership meetings as required.
  • Provide support on systems and processes as needed.
  • Support the planning of inductions for new senior hires, including arranging induction programs.
  • Build relationships and work efficiently with the executive committee PA network to ensure seamless coordination of meetings, events, and actions.
Requirements
  • Previous experience as an Executive Assistant or in a similar role, supporting c-suite level or senior leadership.
  • Experience of reporting and data management.
  • Ability to navigate complex situations with diplomacy.
  • Ability to produce high-quality presentations and briefing packs.
  • Exceptional attention to detail and planning skills, with proven ability to multitask.
  • Good level of literacy, IT, and numerical skills.
  • Excellent organizational skills and good capacity to keep track of all actions.
  • Ability to work under pressure and coordinate projects.
  • Ability to build relationships with people at all levels.
