About the Role

We are seeking a highly organized and detail-oriented individual to join our dynamic Commissioning Team at NHS Somerset Integrated Care Board. As a Commissioning Team Member, you will play a key role in supporting the commissioning and contract management of Community Pharmacy and Optometry services in the region.

Key Responsibilities
  • Support the Commissioning Team in the commissioning and contract management of Community Pharmacy and Optometry services, ensuring compliance with relevant regulations and guidelines.
  • Manage a generic inbox responding to queries from Community Optometry contractors and cover for the Community Pharmacy inbox when required, providing timely and accurate responses to stakeholders.
  • Manage complaints, freedom of information requests, MP queries, and incidents received relating to Community Pharmacy and Community Optometry, escalating issues as necessary to ensure prompt resolution.
  • Support with processing contractual applications or variations relating to Community Optometry providers, ensuring accurate and efficient processing of documents.
  • Log reports of temporary closures, maintaining accurate records and providing updates to stakeholders as required.
  • Admin support for the Quality in Optometry assurance process for Community Optometry providers, ensuring compliance with relevant standards and guidelines.
  • Support meetings as required, including creation of agendas and note-taking, ensuring accurate and comprehensive minutes are maintained.
  • Creation of purchase orders and coding of invoices, ensuring accurate and timely processing of financial transactions.

Person Specification

We are seeking a candidate with the following skills and experience:

  • Proven experience of working within administration, with a strong understanding of commissioning and contract management processes.
  • Proven experience of working in a busy office/administration environment, with excellent organizational and time management skills.
  • Organising meetings and taking comprehensive accurate minutes, with a strong attention to detail.
  • Setting up and maintaining effective administrative office systems, with a strong understanding of data management and record-keeping.
  • Drafting agendas and outlining meeting papers, with excellent written and verbal communication skills.
  • House-styling and formatting documents, with a strong understanding of formatting and presentation standards.
  • Undertaking project management assistance, co-ordinating and collecting information, with a strong understanding of project management principles.
  • Communicating and liaising with all levels of staff and with external stakeholders, with excellent interpersonal and customer service skills.
  • Clear communicator with excellent writing, data entry, and presentation skills, with a strong understanding of business communication principles.
Qualifications

We are seeking a candidate with the following qualifications:

  • NVQ Level 3 in a relevant subject, or equivalent level of qualification or significant equivalent previous proven experience.
  • 5 GCSE Grade 3 or equivalent, including English and Maths.
  • Demonstrable evidence of continuing professional development, with a strong commitment to ongoing learning and professional growth.
