About the Role

This is an exciting opportunity to join our team as an Administrative Support Officer, providing comprehensive administrative support to our Musculoskeletal Physiotherapy service.

Main Responsibilities

  • Manage telephone enquiries from the public, staff, and other healthcare services, ensuring timely and effective responses.
  • Support the MSK Physiotherapy clinics and classes by collating initial referrals, providing reports, and maintaining accurate records.
  • Assist with appointment organization, workload management, and stock ordering to ensure efficient operations.
  • Develop and maintain good working relationships with the Physiotherapy team, ensuring seamless communication and collaboration.
  • Receive and log incoming referrals, ensuring they have been triaged by a senior member of the team and processed efficiently.
  • Book patient appointments, schedule clinics, and manage secure archiving of documentation and disposal.
  • Produce reports and relevant documents as requested, distributing them as necessary.
  • Monitor and order stock items to maintain optimal levels.
  • Input patient information onto the computerized patient system, ensuring accuracy and confidentiality.

Person Specification

  • Essential:
    • 12 months' relevant secretarial/administrative knowledge and experience.
  • Desirable:
    • Experience of Lorenzo/ICE systems.
    • Knowledge of NHS admin practices.

Qualifications

  • Essential:
    • GCSE or equivalent in Maths and English.
  • Desirable:
    • Additional qualifications relevant to the role.

Skills

  • Essential:
    • Good communication skills (telephone, email, written, verbal).
    • Knowledge of Microsoft Windows Applications (Word, Excel, Outlook).
    • Customer service experience.
    • Good organizational skills (ability to prioritize workload).
