Job Title: Junior Finance (Workday) Systems Analyst Apprentice

This is a full-time, 24-month fixed-term position on Crick terms and conditions of employment.

The Francis Crick Institute is an independent biomedical discovery institute dedicated to understanding the fundamental biology underlying human disease. Our founding partners are the Medical Research Council (MRC), Cancer Research UK (CRUK), Wellcome, University College London (UCL), Imperial College London, and King's College London. We are based in a state-of-the-art building just opposite St Pancras Station in King's Cross, London.

Job Summary

Workday offers a cloud-based software package that simplifies managing employees and finance for businesses. It includes HR tools for hiring, payroll, and training, as well as financial tools for accounting, financial planning, procurement, and managing expenses.

The Junior Finance (Workday) Systems Analyst Apprentice is part of the Finance Systems team. They report to the Finance Workday Systems Analyst and their line manager, the Finance Systems Lead who oversees this team. This role will work across Finance and work closely with colleagues in Commercial, Finance Effectiveness, Financial Planning and Analysis, Grants, Risk and Insurance, Sourcing, and Strategic Partnerships.

Key Responsibilities
  • Learn to manage day-to-day administration of Workday Financials and its linked systems.
  • Learn to troubleshoot and prioritize common issues raised by business users and track in our request tracking system, ServiceNow, and ensure these are resolved appropriately.
  • Where uncommon issues are raised, log requests with the Crick's external support provider and Workday, and ensure these are resolved appropriately.
  • Ensure access to Workday and its linked systems are controlled according to correct security processes and business needs.
  • Learn to manage small projects and ongoing tasks to improve the Finance Systems landscape in the Crick.
  • Work with the Finance Systems team on regular configuration changes and follow proper change management procedures, including upgrade testing.
  • Learn to manage communications to all stakeholders on configuration changes and upgrades.
  • Work with the Finance Systems team to capture process improvements and identify potential issues or recommend areas for optimization.
  • Keep data in Workday updated and work with the Finance Subject Matter Experts to review items like projects, cost centers, spend categories, purchase items, and custom worktags.
  • Support the Finance Subject Matter Experts to review finance process documentation on a regular basis.
  • Where required, learn to utilize Workday's data tools to extract data to other Crick systems. Create guidance to help users understand and solve data load errors.
  • Support continuous improvement in Workday and develop the skills to become a system governance champion.
Requirements
  • Level 3 qualification or equivalent
  • OR Business/Business-related degree
  • OR Non-business-related degree and 6 months' work experience in a relevant role
  • OR Existing staff with 2+ years' work experience in a relevant role
  • In addition to the above, candidates will also require GCSE maths and English (at grade C / grade 4 or above)

  • Have GCSE maths and English (at grade C / grade 4 or above)
  • Not have a Business Analyst qualification at level 4 or higher
  • Not be an overseas national subject to employment or learning restrictions and/or a time or a limit on my stay (other than a refugee or asylum seeker)
  • Be ordinarily resident in the England, EU, or EAA for at least the previous three years before the start of the programme.
