Job Overview

The successful candidate will be tasked with delivering exceptional clerical and administrative assistance as part of the Colposcopy Services team within the Gynaecology department.

This role is pivotal in ensuring that a thorough and accessible service is provided, adhering to established national standards for Colposcopy, while collaborating closely with the Colposcopy Coordinator.

Key responsibilities include managing patient referrals and scheduling various types of appointments.

The individual will also be responsible for accurate data entry, ensuring that all information is complete and correctly entered into the Colposcopy Database Systems.

Additionally, the role involves providing administrative support to the multidisciplinary team engaged in the operation of the Colposcopy Services across multiple locations, including assisting with the documentation of MDT outcomes.

The ideal candidate will possess strong interpersonal skills, effective verbal and written communication abilities, and a courteous and professional demeanor.

Primary Responsibilities

- Communicate effectively with staff within and outside the department, maintaining extensive contact with healthcare professionals, patients, and relevant external organizations.

- Handle sensitive and complex information with the necessary tact, empathy, and discretion.

- Address a high volume of inquiries from both external and internal sources through personal interactions, written correspondence, and telephone communications.

- Demonstrate excellent communication skills.

- Collaborate with clinical staff and governance teams as needed.

- Coordinate with external agencies and hospitals to obtain necessary reports and information related to patients.

- Accurately register patient demographic details and record referral information in the Trust's clinical system, facilitating the smooth progression of referrals through the patient pathway.

- Manage changes or cancellations of outpatient appointments for patients via telephone. Assist in the management of the patient tracking list (PTL).

Qualifications

Essential

  • GCSEs at grade C or above, including English and Mathematics.
