Main Responsibilities:

  • Review dispatches from the previous day to effectively prioritize tasks.
  • Monitor daily flight and vessel schedules, coordinating with logistics partners to prevent any documentation delays or inaccuracies.
  • Align original documents with corresponding files and dispatch them to banks or customers upon completion.
  • Maintain a log of documentation processes on the Shipping Documents spreadsheet, tracking each shipment to ensure timely delivery.
  • Prepare necessary documentation for banking or open terms/CIA for shipments to the Middle East and Africa, ensuring copies are sent to agents or customers promptly.
  • Verify all received documentation against packing instructions, identifying any discrepancies swiftly to avoid customer delays.
  • Ensure timely receipt of all documents by logistics partners.
  • Track daily numbers for original documents and communicate updates to agents or customers.
  • Address inquiries from customers and agents through email and phone communication.
  • Collaborate with agents and customers to amend documentation as needed and revise documents accordingly.
  • Initiate DHL shipments for all open terms/CIA documentation.
  • Coordinate with international partners regarding documentation and shipments.
  • Prepare and submit Cargo X documentation as required.
  • Assist Customer Care Coordinators with documentation-related tasks.
