Project Management Specialist

Tomlinson Group of Companies is in search of a dedicated Project Management Specialist to support the oversight and execution of various projects. This role involves collaboration in all phases of project execution: requirement analysis, solution design, proposal crafting, engineering tasks, scheduling, technical documentation, client relations, procurement processes, contract oversight, change management, project monitoring, project completion, quality assurance, and safety protocols. The position reports directly to the Project Manager/Engineer.

Key Responsibilities:

  • Analyze and document client specifications for new project implementations
  • Support the creation of proposals for innovative solutions
  • Assist in the assessment and development of mass balance models for new projects
  • Conduct engineering estimates and forecasts for material flows
  • Evaluate vendor submissions for compliance with project standards
  • Facilitate the commissioning of new systems
  • Support troubleshooting efforts for existing systems
  • Engage with clients, suppliers, and internal teams to develop and implement solutions
  • Prepare contract, drawing, and specification documentation for project teams
  • Develop and maintain project schedules using project management software
  • Organize and manage equipment selections and related documentation
  • Coordinate quality assurance inspections
  • Compile and prepare summaries of time and materials used
  • Assist in initiating and tracking project change orders
  • Support the preparation and submission of Requests for Information (RFIs)
  • Participate in project progress meetings
  • Measure and monitor project quantities
  • Complete as-built documentation
  • Assist in reviewing project financials throughout the project lifecycle
  • Collaborate with the Project Manager to coordinate subcontractor activities
  • Prepare monthly progress payment requests
  • Review subcontractor quantities and approve payment requests
  • Compile and coordinate project closeout documentation (Operations & Maintenance Manuals, as-built drawing packages)
  • Interpret and understand all contract documents, drawings, and quantity sheets
  • Assist with laboratory duties as needed
  • Track claims as necessary
  • Complete Purchase Orders

Working Environment:

  • Dynamic work setting, typically involving large and complex projects
  • Work may occur on project sites or in an office environment
  • Extended working hours may be required, including travel between sites
  • Potential for night and weekend work based on project schedules
  • Ability to work under pressure with tight deadlines
  • Exposure to operational environments including waste management facilities and construction sites in various weather conditions
  • Travel expenses will be covered by the employer
  • Physical capability to navigate stairs, ladders, and uneven terrain

Qualifications:

  • Bachelor's degree in Environmental Engineering, Chemical Engineering, Mechanical Engineering, or Civil Engineering with a minimum of 2 years of relevant industry experience
  • Exceptional communication and organizational skills are essential
  • Meticulous attention to detail
  • Strong understanding of construction health and safety regulations
  • Proficient computer skills
  • Basic knowledge of accounting principles is advantageous
  • Professional proficiency in both oral and written communication
  • Sound judgment, reliability, and organizational skills
  • Valid full G class driver's license
  • Able to work collaboratively in a team environment, demonstrating effective interpersonal skills with various stakeholders
