Job Description

Trinity Resource Solutions is seeking a highly skilled Facilities Coordinator to join our team. As a key member of our facilities management team, you will be responsible for ensuring the smooth operation of our office facilities.

Key Responsibilities:
  • Facilities Maintenance: Manage repairs, maintenance, and upkeep of company facilities, including building systems, appliances, and outdoor spaces.
  • Vendor Management: Coordinate external service providers to ensure planned maintenance activity is concluded as expected, and in a timely manner, including routine maintenance and repair tasks to plumbing, electrical, and HVAC systems.
  • Record Keeping: Maintain up-to-date detailed records of maintenance activities, inspections, and repairs. Ensure records are instantly available for audit inspection.
  • Supplier Management: Identify and evaluate suitable suppliers and contractors in accordance with company policy and budget to fulfill building and equipment maintenance requirements.
  • Compliance: Ensure compliance with all regulations and codes related to building safety and maintenance.
  • Calendar Management: Oversee a calendar of planned routine maintenance, acting as the key point of contact for external service providers and ensuring they attend appointments as agreed.
  • Equipment Maintenance: Oversee the maintenance of office equipment, tools, and machinery. Ensure that equipment is in good working condition and arrange for repairs or replacements when necessary.
  • Space Management: Support plans to maximize the layout and organization of workspaces, meeting rooms, and common areas to enhance productivity and efficiency, including constructing and moving furniture.
  • Inventory Management: Manage an inventory of supplies and equipment, monitor stock levels, and order necessary materials and supplies in accordance with company procedure for daily operations. Maintain accurate records of inventory.
Requirements:
  • Experience: Minimum of 3 years of experience in facilities management or a related field.
  • Knowledge: A good understanding of plumbing, electrical systems, HVAC, and general building maintenance.
  • Skills: Excellent verbal and written communication skills, ability to work independently and as part of a team, and willingness to go the extra mile at busy times.
  • Education: Proficient in the Microsoft Office suite.
