Job Title: Private Client Team Administrator
Job Summary:
We are seeking an experienced and organized Administrative Assistant to join our Private Client Team. The successful candidate will provide administrative support to our Private Client Department, working closely with our team of Solicitors and Paralegals to deliver a high level of service to our clients.
Key Responsibilities:
- Provide administrative support to the Private Client Department, including answering telephone calls, taking messages, and managing team diaries.
- Open and manage money laundering and legal files.
- Provide secretarial support to Solicitors and Paralegals, including typing of dictation, fee notes, and client correspondence.
- Enter precise data quickly and correctly.
- Perform office administration duties, including filing and scanning.
- Manage mail duties, including organizing mail for signature, collection, and allocation to appointed staff.
- Assist with the receipt of new instructions and referrals.
- Use various computer systems to create, update, and maintain client records accurately.
- Deal with basic client queries and take messages where appropriate.
- Prepare fee notes.
- Register Powers of Attorney.
- Complete forms.
- Lodge and uplift wills and documents.
- Manage debt.
Requirements:
- Highers or equivalent in English and Mathematics.
- Pleasant telephone manner and efficiency in relaying and taking messages.
- Computer literate and familiar with MS office packages.
- Previous office experience.
