Key Responsibilities

As the Facilities Services Supervisor, your primary duties will encompass:

  • Maintaining comprehensive records of maintenance activities, fault reports, procurement documentation, and contractor performance across various sites.
  • Managing staff location records and coordinating office relocation requests through the designated system.
  • Preparing correspondence and documentation as required, including letters and spreadsheets.
  • Arranging travel logistics such as hotel bookings and transportation, ensuring travelers receive all necessary confirmations.
  • Serving as the initial point of contact for staff and visitors, addressing inquiries promptly and effectively.
  • Handling incoming calls and messages, providing reminders for team tasks as needed.
  • Collaborating with staff at all levels to ensure the efficient execution of Facilities Services operations.
  • Ordering supplies and managing inventory for reception and postal services.
  • Coordinating with vending service providers to address machine issues and stock management.
  • Organizing team meetings and documenting minutes for future reference.

Candidate Profile

Applicants should demonstrate their qualifications and experience in their application, particularly in relation to the following essential criteria:

  • Minimum educational qualifications of 5 GCSEs at grades A-C, including Mathematics and English, or equivalent experience.
  • Proficient IT skills with advanced knowledge of Microsoft Office applications, including Word, Outlook, Excel, and PowerPoint.
  • Extensive administrative experience, particularly in developing and maintaining office systems while managing sensitive information.
  • Effective communication skills, both verbal and written, with the ability to select appropriate channels for diverse audiences.
  • Experience with financial systems and supporting financial reporting.
  • Adherence to relevant policies and procedures in executing tasks.
  • Capability to work independently, managing tight deadlines and adapting to changing priorities.

Desirable Attributes

  • Experience in Help Desk operations.
  • Background in facilities management.
  • Familiarity with digital tools such as JIRA.
