Position Overview

Collaborative Approach.

  • Engage with the office team through detailed communications to ensure timely updates are shared in accordance with corporate communication standards.
  • Participate in regular Facilities Management meetings and implement action items as directed.
  • Provide continuous support for the Facilities Management & Property team on both minor and major projects.
  • Organize monthly performance reviews and quarterly discussions with key vendors to assess ongoing service delivery alongside our Supplier Relationship Manager.
  • Work in conjunction with the Audits team to enhance operational efficiency.

Proactive Mindset.

  • Oversee and replenish office supply inventory, ensuring all necessary consumables are available for operational needs, including kitchen, meeting, and postal areas.
  • Generate and manage Purchase Orders related to Property and Facilities.
  • Maintain comprehensive contact lists for the Facilities Management and Property teams.
  • Ensure the upkeep and operational integrity of office amenities, including HVAC, lighting, plumbing, and security systems.
  • Foster a clean, professional, and welcoming office atmosphere.

Integrity in Operations.

  • Address facilities-related concerns with the service provider and ensure resolution is achieved efficiently.
  • Support compliance maintenance across the estate utilizing our Computer Aided Facilities Management (CAFM) System, Elogbooks.
  • Organize and manage documentation within shared online platforms, streamlining processes for property and audit records.
  • Prepare and sustain precise records pertaining to facility operations and compliance audits.
  • Possess a solid understanding of Whistl's accreditations and uphold these standards through regular activities, including inspections and support for Non-conformance (NCs) resolutions and enhancements.
