We are seeking a highly organized and detail-oriented Contracts Coordinator to join our team at EBSCO Industries Inc. As a key member of our business operations team, you will play a critical role in managing the tender process from start to finish, ensuring seamless coordination with our sales team and customers.
Key Responsibilities- Manage the tender process, including consulting with the sales team and liaising with customers as needed.
- Liaise with sales support and technical support teams to identify and maintain updated tender responses for the UK and Nordic markets.
- Coordinate special pricing on database and software products with the relevant sales representatives.
- Assist sales with billing terms and handling charge information.
- Create and update Service Level Agreements (SLAs) and business proposals with sales as needed.
- Track ongoing quotation and tender issues to report progress to customers, both internal and external.
- Maintain contracts and agreements, and coordinate extensions as required.
- Compile financial information and assist with the evaluation of pricing decisions for tenders and quotations.
- Prepare and circulate regular consortium and financial reporting.
- Maintain NetCRM and ensure updates are performed in accordance with requirements.
- Support conference, exhibition, and event processes.
- Support social media and marketing activities.
- High level of written communication skills.
- Impeccable attention to detail.
- Intermediate level of competence with the Microsoft Office suite, particularly Word, Excel, and Outlook.
- Proven administrative experience working within a role dealing with contracts or the bidding process.
- Able to grasp in-house systems quickly.
- Evidence of working to deadlines in a pressurized environment.
- Tender or bid writing experience.
- Results-driven.
- Excellent communication skills, both verbal and written.
