Job Title: Personnel Coordinator

The Personnel Coordinator plays a vital role in supporting the EMEAA Project Delivery team by executing all personnel logistics related to project assignments. This encompasses all aspects of mobilisation and demobilisation for personnel working in conjunction with HR and operations teams.

Key Responsibilities:
  • Ensure all personnel mobilising to projects have the correct training, visas, documentation to meet project requirements.
  • Assist with obtaining second passports, visa applications, and work permits.
  • Liaise with operations teams for scheduling and facilitation of personnel changes.
  • Track and record comprehensive and accurate personnel movements for projects on personnel tracking systems.
  • Maintain all offshore personnel records and certification, ensuring all necessary documentation is available and valid.
  • Manage global travel arrangements and in-country personnel logistical requirements.
  • Coordinate accommodation, travel, and logistical requirements for project personnel.
  • Prepare project assignment conditions, travel letters, and other travel or project information.
  • Support project teams with cost tracker accuracy and finance with accurate payroll information.
  • Deal with associated payroll queries and re-direct queries to HR or payroll as necessary.
  • Validate and approve offshore personnel timesheets and expense claims.
  • Raise purchase orders and validate costs.
  • Provide support with agency offshore recruitment activities, sourcing suitable personnel.
  • Record offshore personnel holidays or leave requirements.
  • Order, log, and arrange delivery of PPE requirements for field personnel.
  • Attend and minute weekly operations meetings and other project meetings as required.
Requirements:
  • Good level of standard grades or HNC.
  • Experience of working in a fast-paced personnel logistics department, preferably within the Energy sector.
  • Experience of visa applications, preferably work visas/permits/residencies.
Skills and Knowledge:
  • Able to use own initiative and self-motivated with excellent time management.
  • Capable of working under pressure, to deadlines, and operating in a fast-paced environment.
  • A 'can do' positive attitude, with a focus on delivery.
  • Excellent communication skills - oral and written.
  • Strong problem-solving and decision-making skills.
  • Flexible team player with the ability to work as part of a team.
  • Highly organised and efficient with attention to detail.
  • Honest, trustworthy, confidential, and discreet.
