Position Overview
Our client is seeking a dedicated Executive Assistant to provide comprehensive administrative support primarily to the Global Leadership team and other Senior Managers within the organization.
Key Responsibilities
• Manage complex calendars, coordinating internal and external meetings as well as virtual conference calls across multiple time zones.
• Organize and oversee both international and domestic travel arrangements using the internal travel management system, including accommodations and transportation logistics.
• Collaborate with the Office/Facilities Manager on various office management and health & safety initiatives.
• Foster strong working relationships with other global administrative professionals within the company.
• Handle incoming communications and ensure timely message dissemination.
• Process visa applications for international travel.
• Provide reception coverage during breaks and absences as needed.
• Execute additional administrative tasks, including expense management, invoice processing, and preparation of presentation materials.
• Assist with office-related activities such as catering orders, social events, and general administrative projects.
Qualifications
• Minimum of 4 years of experience in a Team Assistant or Executive Assistant role within a corporate, financial services, or professional services environment.
• Professional demeanor with a commitment to delivering high-quality service.
• Strong attention to detail and the ability to thrive in a fast-paced setting while managing multiple priorities.
• Excellent communication skills, capable of interacting effectively with all levels of management and staff.
• Proficient in MS Office Suite and general office administration.
• Self-driven with minimal supervision required, showcasing strong organizational skills and teamwork.
• Proactive problem solver with the ability to navigate different time zones efficiently.
Experience
- At least 4 years of solid administrative experience in financial services, ideally supporting senior executives in asset management or private equity sectors.
- Proven track record in managing multiple calendars, travel arrangements, and administrative tasks such as expense reporting and invoice management.
- Ability to support broader office management tasks as needed.
- A professional with resilience, a positive attitude, and a collaborative spirit, who will be recognized for their contributions and provided with opportunities for growth.
