Job Summary

The Customer Service Administrator will be responsible for providing administrative support to the Customer Service team, ensuring the smooth operation of the department. This will involve processing invoices, preparing quotations, and liaising with the Accounts team.

Key Responsibilities

  • Process and manage customer invoices and payments
  • Prepare and send quotations to customers, using drawings and technical specifications
  • Input quotations onto the Opera software system
  • Respond to customer inquiries and provide support via email and phone
  • Provide cover within the Planning Department, booking installation work into the Engineers' diaries using Excel worksheets
  • Liaise with the Accounts team to ensure accurate and timely completion of all relevant paperwork
  • Manage stock and stock transfers at the warehouses, updating stock on the Opera system after regular stock takes
  • Use the Opera software system to edit orders and ensure products are delivered to the correct warehouse
  • Accurately and timely complete all relevant paperwork, ensuring Engineers return signed paperwork immediately after job completion

Requirements

  • Good understanding of business and excellent organizational skills
  • IT skills, including Microsoft Access, Excel, and Word
  • Excellent communication and listening skills
  • Strong team player with a practical approach to problem-solving
  • Attention to detail and accurate data input skills essential

Working Hours

The role is a standard Monday to Friday, 8.45am to 4.45pm schedule.
