Job Summary: We are seeking an experienced Administrator to join our dedicated team at Reed. As an Administrator, you will play a crucial role in supporting the delivery of our client's charitable objectives.

About the Role: The Operations and Finance Team is at the heart of our organisation, coordinating the administration of conservation projects, building relationships with members, and engaging with the public.

Key Responsibilities:

  • Manage Correspondence: Oversee the management of correspondence, including letters, packages, and other administrative tasks.
  • Coordinate Meetings and Appointments: Coordinate internal and external meetings and appointments, ensuring seamless communication and organization.
  • Calendar and Scheduling Management: Maintain calendars, schedules, and reservations, ensuring efficient use of time and resources.
  • Travel Arrangements: Coordinate staff travel arrangements, including transportation and accommodation, and distribute travel itineraries.
  • Data Entry and Record-Keeping: Perform data entry tasks, maintain and update membership records, and gather information for mass correspondence.
  • File and Database Management: Organize and maintain files and databases, ensuring accurate and up-to-date information.
  • Office Supplies and Inventory: Manage inventory of office supplies, including stationery and multimedia equipment.
  • Member and Visitor Support: Welcome members and visitors, providing exceptional customer service and support.
  • Document and Presentation Preparation: Assist in document and presentation preparation using Word, PowerPoint, and Excel.
  • Marketing and Social Media Support: Assist in the administration of marketing and social media tasks, ensuring consistent branding and messaging.
  • Senior Management Support: Support senior management with correspondence and enquiry responses, providing administrative assistance as needed.

Requirements:

  • Administrative Experience: Proven experience in an administrative role, preferably in a membership organisation or the third sector.
  • Communication and Interpersonal Skills: Excellent communication and interpersonal skills, with the ability to build strong relationships with colleagues and stakeholders.
  • Organizational and Time Management Skills: Strong organisational and time management skills, with the ability to prioritize tasks and manage multiple projects.
  • Attention to Detail: Excellent attention to detail, with a focus on accuracy and quality in all administrative tasks.
  • Microsoft Office Suite: Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Problem-Solving Skills: Enthusiastic problem-solving skills, with the ability to think critically and creatively in a fast-paced environment.
