Role Overview

The Healthcare Program Coordinator is tasked with overseeing the operational execution of the Durbin Early Access Programs, focusing on healthcare professionals.

Key Responsibilities:

  • Manage and prioritize all inquiries from healthcare professionals through dedicated program communication channels.
  • Collaborate closely with the Project Management team to grasp the specific KPIs and deliverables of each program.
  • Assist prescribing physicians and pharmacists with general inquiries, directing medical questions to the Pharmaceutical Sponsor as necessary.
  • Oversee the qualification process in accordance with relevant Standard Operating Procedures (SOPs) and Good Distribution Practices (GDP) for healthcare professionals and hospitals wishing to register with Durbin.
  • Manage hospital and wholesaler accounts within Durbin systems, coordinating with Quality and Finance teams for account setup and revalidation as required.
  • Evaluate new requests, including the assessment of registration forms and basic criteria for patient enrollment into each program by their prescribing physician.
  • Work alongside the Regulatory/Supply Chain team to identify legal pathways and importation requirements for each country, guiding healthcare professionals through the application process as needed.
  • Process sales orders within the ERP system for billing purposes.
  • Coordinate with the warehouse for order picking and packing, ensuring all necessary shipping documentation is provided.
  • Complete bookings on courier platforms for the collection and delivery of shipments to institutions, ensuring timely and compliant product delivery.
  • Communicate with couriers regarding packaging, transportation routes, and end-to-end tracking to ensure products are received under required storage and temperature conditions.
  • Assist in generating client reports on program metrics.
  • Issue invoices for product orders and manage the submission of invoices into hospital and site systems.
  • Collaborate with internal finance colleagues for the reconciliation of overdue accounts and incoming invoice payments.

Candidate Qualifications:

  • Preferably holds a degree.
  • Fluent in English and French.
  • Experience in pharmaceutical customer service is advantageous.
  • Familiarity with early access programs is preferred.
  • Proficient in Microsoft Office applications, particularly Outlook, Word, and Excel.
  • Experience with ERP systems such as SAP or D365 is a plus.
