Job Overview

The primary responsibility of this role is to ensure that financial and payroll data is processed in compliance with established protocols, thereby facilitating accurate statutory reporting.

This position involves addressing inquiries and concerns from suppliers and staff, providing necessary support and guidance as needed.

It is essential that all tasks are completed within the designated financial timelines.

The role may also include advising patients and clients regarding applicable charges.

This is an entry-level position, and the successful candidate will be expected to pursue the Association of Accounting Technicians training qualification through an approved provider.

Preference will be given to internal staff and those with 'Priority' or 'At Risk' status, including NHS staff at risk throughout the region, who can demonstrate relevant recent experience as outlined in the Person Specification.

Key Responsibilities

The successful candidate will provide financial assistance to the Finance Team Leader, ensuring the needs of Budget Holders and the Management and Financial Accounting teams are met, which will enable precise reporting of monthly financial outcomes for each Directorate in accordance with close-down schedules.

This role is collaborative, and while individual team members may not consistently perform all tasks, they are expected to have a comprehensive understanding of each responsibility and be capable of covering for one another.

Responsibilities include planning and organizing straightforward tasks, some of which may be ongoing, and scheduling work to ensure compliance with daily, monthly, quarterly, and annual financial deadlines.

Job Duties

The role involves providing financial support to the Financial Services Team, including Business Advisors and Financial Account staff.

  • Assisting the Management Accounts function in supporting budget holders with Directorate Finance matters.
  • Responding to routine inquiries from Trust Fund Managers.
  • Addressing standard queries from external organizations and suppliers, escalating more complex issues to the line manager.
  • Handling sensitive information with professionalism and discretion.
  • Completing month-end financial tasks, including data analysis and interpretation, identifying discrepancies, and resolving issues using various methods.
  • Managing budget and expenditure movements, ensuring accurate corrections of identified errors, and producing necessary journals.
  • Conducting balance sheet reconciliations for simple control accounts.
  • Ensuring correct coding of income and expenditure items to budgets and producing required analyses.
  • Managing invoicing processes to ensure timely and accurate billing and appropriate handling of credit notes.
  • Overseeing accounts payable processes, ensuring non-purchase order invoices are directed to the relevant budget holder for approval.
  • Addressing complex supplier and budget holder inquiries regarding invoices.
  • Responding to complex queries from budget holders and Trust Fund Managers, seeking line manager guidance when necessary.
  • Producing regular financial and management reports, suggesting process improvements, and implementing agreed changes.
  • Inputting financial data into computerized and paper systems, creating and updating complex financial spreadsheets.
  • Participating in departmental training and providing guidance to new or less experienced staff.
  • Handling cash transactions responsibly.
  • Assisting patients and clients with non-clinical advice and information during incidental contacts, ensuring adherence to departmental policies and procedures.

Qualifications

Essential

  • 5 GCSEs including Maths and English at Grade C or above, or equivalent experience.
  • NVQ Level 3 or Association of Accounting Technicians (AAT) Intermediate Level or equivalent experience.

Desirable

  • A levels or equivalent experience.

Knowledge & Experience

Essential

  • Strong numeracy skills.

Desirable

  • Previous experience in finance roles.
