Position: Programme Coordinator (Education Initiative in Myanmar)

Overview:
The Programme Coordinator will work under the guidance of the Deputy Chief of Party for Programme Operations, offering support and coordination to stakeholders and the executive leadership team across various responsibilities. Key duties encompass engaging with stakeholders; providing project management support; organizing and documenting high-level discussions; assisting with stakeholder requirements, communications, and reporting; and overseeing implementation risks and challenges. This role is anticipated to be a consultancy position that is home-based, operating remotely with team members based in Myanmar and Thailand; however, the candidate is expected to adhere to Myanmar working hours (GMT +6:30) and may require travel as necessary.

ROLE SCOPE:

Reports to: Deputy Chief of Party, Programme Operations

Stakeholder Engagement and Coordination

• Organize stakeholder Steering Committee meetings, gathering inputs and preparing agendas, distributing documents in advance, coordinating schedules and invitations, ensuring timely production and circulation of minutes, and following up on action items;

• Aggregate stakeholder inputs for key programme documents (such as reports, annual plans, etc.), identifying areas needing further discussion or consensus among stakeholders and assisting the Steering Committee Chair in cross-stakeholder communication for decision-making;

• Coordinate team contributions to stakeholders' internal reporting and other requirements, particularly concerning project management, operations, and risk oversight;

• Facilitate the collection of inputs from stakeholders on strategically important programme areas;

• Assist in planning stakeholder field visits;

• Support additional coordination and liaison activities with stakeholders/Steering Committee as needed.

Project Management Support

• Provide efficient and timely assistance to the Chief of Party, Deputy Chief of Party, and other Directors within the Senior Leadership Team;

• Prepare clear and accurate minutes for quarterly Steering Committee meetings, Senior Leadership Team meetings, Senior Management Team meetings, and other selected gatherings (utilizing online meeting recordings and/or attending meetings);

• Ensure follow-up actions from meetings are executed and maintain an action point tracker;

• Review documents, communication materials, project management manuals, and/or stakeholder report drafts, assisting in proofreading, editing text as necessary, and ensuring formatting aligns with the programme's style guide;

• Maintain document version control and ensure proper filing of final versions of key documents in the programme's shared drive, ensuring files are organized intuitively with a filing 'map' for easy access by team members;

• Prepare presentations or other briefs for management use in meetings or workshops;

• Assist in the development and finalization of communications and reporting products or publications, as required;

• Lead administrative management of specific activities, workshops, meetings, or events, as assigned;

• Support other tasks/assignments as needed.

Risk Management Oversight

• Collaborate with programme staff and other resources to stay informed about current risks in programme implementation;

• Coordinate regular updates, seeking input from various teams, to the Risk Management Plan and Matrix;

• Assist in managing and mitigating risks as identified in the Risk Management Plan;

• Prepare risk-related reports for stakeholders and internal audiences.

Travel:

• Up to one week per month, if feasible depending on the candidate's base location and opportunities for travel to partner areas/team meetings.

Candidate Profile:


• Bachelor's degree in Development, International Studies, or a related field;

• Exceptional written and verbal English communication skills, with the ability to convey technical international development terminology effectively;

• Proven experience in proofreading and editing documents, reports, and communication materials;

• Strong interpersonal skills, politically and culturally sensitive, demonstrating patience, tact, and respect;

• Highly organized, detail-oriented, skilled in prioritizing tasks and meeting deadlines, capable of managing multiple tasks under pressure;

• Proactive in anticipating work requirements and problem-solving;

• Ability to analyze information, evaluate options, and think and plan strategically;

• Strong cultural awareness and ability to work effectively in an international environment with diverse backgrounds and cultures;

• Coordination skills, including experience in leading a team to achieve results within tight timelines;

• Ability to work independently as well as collaboratively within a team;

• Flexibility and adaptability in response to challenging circumstances;

• Willingness to work during Myanmar working hours;

• Commitment to the values of Save the Children.

Desirable Qualifications:

• Degree or background in Education;

• Experience working or researching in the Myanmar context;

• Background in international development or humanitarian programming;

• Previous experience in administration and/or project management;

• Understanding of stakeholder compliance requirements;

• Willingness and ability to travel;

• Having Myanmar or Thailand as a 'home' base.
