About the Role

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at University Hospitals Plymouth NHS Trust. As a key member of our clinical team, you will provide comprehensive administrative support to ensure the smooth operation of our clinical services.

Key Responsibilities

  • Provide administrative support to our clinical team, including preparing clinic letters, managing patient records, and coordinating appointments.
  • Assist with telephone enquiries from patients, GPs, and other agencies, providing excellent customer service and referring to medical secretaries as needed.
  • Sort and distribute incoming post, and request notes from other departments as required.
  • Provide cover on reception in the Chestnut unit as needed, and be versatile and adaptable to the demands of the team.
  • Ensure effective communication with all members of the multi-disciplinary team, and assist with the coordination of specialty in-patient and out-patient waiting lists.
  • Develop a comprehensive working knowledge of iPM, and ensure all hospital case notes are accurately recorded and traced.
  • Perform other clerical duties as determined by the line manager, and register patients and make up sets of notes as required.

Requirements

  • GCSEs 9-4 (A-C) in Maths & English and NVQ level 2 in business administration or a related subject, or equivalent demonstrable experience.
  • Previous clerical/admin experience of Microsoft packages, including Word and Excel, and demonstrable experience of audio transcription.
  • Excellent organizational skills, and the ability to work calmly and methodically in a busy working environment.

Desirable Qualifications and Experience

  • Typing to OCR 2 or above standard, or equivalent.
  • Previous experience of working in a large medical organization, and previous experience in a trainee support/medical secretary role.
  • Demonstrable experience in using digital dictation or voice recognition software.
