Role Responsibilities

Reporting directly to the Head of Sales, the Proposal Specialist will play a crucial role in managing the complete bid process, ensuring adherence to best practices, and crafting comprehensive documentation and technical responses in accordance with company protocols.

The Proposal Specialist will also collaborate with the Commercial and Operational teams to secure new business opportunities while nurturing existing client relationships. This role involves working across various departments to develop compelling proposals and maintaining accurate and relevant bid materials by thoroughly understanding customer requirements.

Key Responsibilities Include:

  • Enhancing and refining the documented bid process from inquiry to invoice, which encompasses:
    • Engaging in bid/no-bid discussions,
    • Completing Pre-Qualification Questionnaires (PQQs),
    • Coordinating early engagement with key stakeholders, including bid kick-off meetings,
    • Identifying and understanding bid requirements and customer specifications,
    • Driving innovation to enhance bid value,
    • Managing bid deliverables and coordinating input from suppliers and subject matter experts,
    • Collaborating with bid team members, including legal, supply chain, finance, and insurance representatives, to review bid documents and assess risks,
    • Facilitating review meetings and ensuring timely bid sign-off,
    • Producing high-quality customer-facing documents and presentations,
    • Completing internal and external bid pricing documents, and
    • Submitting bids as directed by the Bid Team.
  • Working closely with Sales and Account Management teams to identify customer needs, preparing and reviewing technical and commercial aspects of bids, ensuring all services and potential contingencies are included in pricing.

Maintaining a strong understanding of the waste sector to ensure optimal partner selection and competitive solutions that meet customer needs.

Creating high-quality bid submissions, contributing to both content and presentation.

Ensuring adherence to timelines throughout the bid process, including internal governance, while proactively setting realistic deadlines to guarantee on-time submission of compliant and commercially viable bids.

Maintaining the company's CRM system and accurate records of bid activities and submissions in an organized manner for easy retrieval and monitoring. Generating reports as necessary.

Collaborating with the Account Management team to provide materials for existing business inquiries, including formal tenders and mini proposals.

Monitoring public sector tender portals to identify new bidding opportunities and presenting them to the Head of Sales and the broader team to support bid/no-bid decisions.

Maintaining the Bid Library, updating collateral such as case studies with input from relevant internal stakeholders.

Working with marketing to develop customized customer materials and redesign bid content.

Performing all duties diligently, adhering to best practices, and aligning with the company's mission and values.

Providing training and writing content as required.

Candidate Profile

  • Extensive background in proposal management, bid writing, or project management
  • Proficiency in MS Office Suite, particularly Excel
  • Experience in the waste management sector (preferred)
  • Solid understanding of supply chain processes and procurement laws related to waste services (preferred)
  • Background in waste solutions and sales experience (preferred)
  • Proven knowledge of the waste industry and competitors

Qualifications:

  • Degree-level education, NVQ, or equivalent qualifications.
