We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at University Hospitals of Leicester NHS Trust. As an Administrative Assistant, you will play a vital role in providing clerical and administrative support to our Outpatient/Day Case and Endoscopy Service.
Key Responsibilities- Provide exceptional customer service to patients, visitors, and staff, ensuring a courteous and efficient experience.
- Manage and maintain accurate and up-to-date patient records, including preparation of notes for clinical sessions and booking appointments.
- Coordinate and facilitate the smooth operation of the administration service, including reception, records, and preparation of sessions.
- Collaborate with the department manager and outpatient staff to ensure all request forms are comprehensively completed and that all test results are available for outpatient clinics as requested.
- Develop and maintain effective relationships with internal and external stakeholders, including UHL staff, Department Heads, Senior Managers, Visiting Clinicians, and relevant external organizations.
- Ensure the highest standards of patient experience and quality are maintained, adhering to the Trust's values and policies.
- Good general education to GCSE level or equivalent, including English Grade C.
- Excellent computer skills, including experience with Microsoft packages.
- Strong written and oral communication skills, with the ability to work as part of a team and remain calm under pressure.
- Ability to work accurately and pay attention to detail, with a demonstrated understanding of and commitment to maintaining confidentiality at all times.
- Flexibility to work between the hours of 8am and 9pm over a 5-6 day rota, which may progress to 7 days, and to cover across localities.
