We are pleased to announce an opportunity for a Sales Coordinator to become a vital part of our team at Vistry Group PLC.

Role Responsibilities

As a Sales Coordinator, your primary responsibility will be to facilitate the transition of reservations to exchange and legal completion within the timelines established by the company. You will play a crucial role in enhancing the customer experience by ensuring effective communication with solicitors, mortgage brokers, and estate agents, addressing any issues that may arise in a prompt and efficient manner.

Your role will also involve keeping the organization updated on all sales progress to ensure accurate forecasting for financial and legal completions.

Candidate Requirements

We are looking for individuals who align with our core values of Integrity, Caring, and Quality. The ideal candidate will possess:

  • A minimum of 5 GCSEs/GCEs including Mathematics and English, or equivalent qualifications
  • A Levels in any field
  • Experience in Legal and/or Estate Agency, particularly in New Homes
  • Strong IT proficiency, particularly with CRM systems
  • Intermediate skills in Excel
  • The ability to work effectively under pressure, prioritize tasks, and meet deadlines
  • A solid understanding of building regulations and legal requirements
  • Proficiency in MS Office applications, especially Outlook, Word, and Excel, as well as sales software
  • Excellent communication skills, both verbal and written
  • Strong negotiation abilities and a professional demeanor when interacting with customers and stakeholders
  • A willingness to adapt to varying day-to-day responsibilities and working hours
  • A valid driving license
Desirable Qualifications

Experience in a residential housebuilding environment and knowledge of legal conveyancing will be advantageous.

Key Duties

Your daily tasks will include:

  • Updating the sales tracking system with all relevant sales progress activities
  • Collaborating with the Sales Director, Sales Manager, and Marketing Manager to manage the sales database
  • Communicating proactively with the Sales Director regarding any conveyancing issues to ensure completion targets are met
  • Ensuring contracts are issued by solicitors within the agreed timelines
  • Liaising with various departments to ensure timely responses to inquiries
  • Generating weekly sales progression reports for the sales team
  • Maintaining regular contact with the sales team and customers to keep them informed about their purchases
  • Coordinating with mortgage lenders, solicitors, and estate agents to resolve any issues
  • Participating in weekly sales/build meetings to forecast expected exchanges
  • Reporting on key performance indicators related to outstanding contracts and completion timelines
  • Preparing various correspondence and reports as required
  • Facilitating the part exchange process to ensure smooth transactions
  • Performing general administrative tasks to support the department
  • Fostering positive relationships with all stakeholders involved in the sales process
