About the Role:
Pertemps TM is seeking an experienced Administrative Assistant to join their team. As a key member of the office staff, you will provide administrative support to the management team and contribute to the smooth operation of the business.
Key Responsibilities:
- Coordinate office activities and operations to ensure efficiency and compliance with company procedures
- Handle incoming and outgoing correspondence, including emails and letters
- Manage filing systems and maintain accurate records
- Schedule meetings and appointments, and take minutes as required
- Organize travel arrangements and accommodation for staff
- Use a range of software packages, including Microsoft Office and Sage, to produce documents and maintain presentations
- Develop and maintain office systems and databases
- Liaise with staff in other departments and external contacts
- Order and maintain stationery and equipment
- Organize and send outgoing post
- Store and retrieve paperwork, documents, and computer-based information
- Perform photocopying, scanning, and printing tasks as required
- Prepare quotes, tenders, and project reports for management
Requirements:
- Experience in a construction or engineering administration role
- Proficiency in Sage or Eque2 software
- Strong organizational skills and attention to detail
- Good understanding of invoicing and purchase order processes
- Excellent oral and written communication skills
- Tact, discretion, and respect for confidentiality
- A pleasant and confident telephone manner
