Position Overview

An Engineering Office Coordinator plays a vital role in overseeing the Engineering office to ensure an exceptional experience for both guests and team members.

Key Responsibilities

In this role, you will be tasked with executing the following duties to the highest standards:

  • Manage daily administrative functions of the Engineering office in compliance with Hilton's standards, policies, and procedures.
  • Provide comprehensive secretarial assistance to the Engineering team.
  • Ensure all communications, especially those involving owners, guests, and corporate offices, are addressed promptly and professionally.
  • Handle the receipt and distribution of mail efficiently.
  • Ensure timely dispatch of outgoing mail.
  • Document minutes for Engineering Team Meetings and prepare management reports accurately and promptly when required.
  • Maintain sufficient supplies of office stationery.
  • Establish and nurture internal and external relationships.
  • Conduct all filing tasks diligently.
  • Adhere to all key security protocols.
  • Report any maintenance concerns or safety hazards.
  • Keep your workspace organized, clean, and presentable.
  • Notify management of defective materials and equipment.
  • Assist with special projects related to the Engineering Office as needed.
  • Perform additional tasks as directed by management.
