Overview of the Role:

The Senior Proposal Coordinator will report directly to the Proposals Manager and will be instrumental in ensuring adherence to the proposal lifecycle for designated bids. This role involves crafting compelling, winning solutions that deliver value. You will collaborate closely with various stakeholders across the organization, including technical delivery, business development, legal, and finance teams.

Your responsibilities will include coordinating the development of proposal documents and ensuring the timely production and delivery of compliant, professionally crafted tenders. This position demands exceptional attention to detail and the ability to perform under pressure while meeting tight deadlines.

Key Responsibilities:

  • Organize and participate in internal meetings to assess bid viability, initiate projects, review proposals, clarify requirements, and ensure smooth handover processes.
  • Embed winning themes and strategies within proposals to enhance competitiveness.
  • Facilitate content preparation for procedural review meetings focusing on bid strategy, cost management, risk assessment, and lessons learned.
  • Coordinate tender pricing in collaboration with the bid manager and proposals manager, ensuring compliance with all contractual obligations.
  • Promptly and professionally manage responses to customer inquiries regarding clarifications or amendments.
  • Maintain the CRM system for personal opportunities and ensure organized documentation for tender materials.
  • Oversee the bid database and contribute to the development of knowledge repositories, including standard company information and proposal-related data.
  • Support business development activities by preparing presentations and participating in marketing initiatives.
  • Ensure compliance with departmental and organizational procedures.
  • Perform additional tasks as assigned by the line manager.

Qualifications and Skills:

  • A minimum of three years' experience in proposal preparation.
  • Demonstrated experience in bid coordination and management across various project scales.
  • Exceptional organizational skills and effective communication abilities, with strong bid writing proficiency.
  • A proactive, resilient mindset with a strong drive for success.
  • Ability to thrive under pressure and meet stringent deadlines.
  • Strong networking and relationship-building skills.
  • Dependable, responsible, and safety-oriented.
  • Proficient in Microsoft PowerPoint, Word, Excel, and PDF for creating professional documents.
  • Familiarity with the energy sector is advantageous.
  • A bachelor's degree in a relevant discipline is preferred.
