Servisource, a member of the Cpl group, is looking for a dedicated Bookings Coordinator to join our Out of Hours team on a part-time basis.
The Bookings Coordinator plays a crucial role in overseeing all facets of out-of-hours staffing operations, as well as providing daytime support when necessary. This position requires the ability to work independently, ensuring that the right personnel are matched with our clients for agency shifts in both healthcare facilities and community settings.
Out-of-hours operations are defined as work conducted outside standard office hours, specifically Monday to Friday from 4:30 PM to 10 PM, and Saturday to Sunday from 7 AM to 10 PM. Daytime operations refer to tasks performed during regular office hours, which are Monday to Friday from 9 AM to 5 PM.
The ideal candidate will be sociable, approachable, and a skilled problem solver with a proactive and positive mindset. Flexibility to accept additional evening or daytime shifts outside the regular schedule is essential. This role is dynamic and is suited for individuals who thrive in challenging environments and enjoy collaborating with others to deliver exceptional staffing solutions.
Responsibilities include, but are not limited to:
- Overseeing all aspects of out-of-hours agency staffing operations, particularly within the Healthcare & Homecare sectors across Ireland and the UK.
- Managing daytime agency staffing operations when coverage is required by the Healthcare or Homecare divisions.
- Efficiently filling all vacant shifts in a timely manner while coordinating effectively with staff and clients.
- Swiftly addressing unforeseen sick leave and staff no-shows, ensuring all communications with clients, staff, and service users are accurately documented in the relevant systems.
- Responding to phone inquiries promptly and ensuring all communications are logged appropriately.
- Handling payroll inquiries from staff and collaborating with the Payroll Department to resolve issues.
- Maximizing the use of all systems and ensuring comprehensive logging of all interactions with clients and temporary staff.
Qualifications:
- 1-2 years of experience in a similar administrative or clerical position.
- Willingness to take on additional evening or daytime shifts as needed.
- Exceptional organizational, interpersonal, communication, and follow-up skills.
- Adept at listening, guiding, and coordinating staff effectively.
- Strong attention to detail.
- Ability to manage time efficiently and prioritize tasks.
- Capability to work independently and make informed decisions outside of standard operational hours.
- Proficiency in IT and relevant systems.
