Job Overview

The Clinical Systems Support Specialist plays a crucial role in assisting the management of clinical systems within healthcare settings. This position involves delivering training and ongoing support to users, as well as compiling activity and performance metrics.

The Specialist collaborates with management to ensure the smooth operation of clinical systems, providing training and assistance to administrators and users while maintaining high standards of data quality and integrity. Additionally, they will participate in procurement and upgrade initiatives, coordinating testing for systems managed by the team.

Main Responsibilities

  • Oversee user access and training aspects of clinical systems, guided by management.
  • Ensure that user access is appropriately controlled, aligning with their roles and responsibilities.
  • Facilitate user training on system usage, including updates and refresher courses, while staying informed about software updates.
  • Guide and motivate the IT coordinator, addressing any concerns with management.
  • Ensure users understand their responsibilities regarding information security and confidentiality in accordance with data protection regulations.
  • Monitor the quality of data recorded in the system, conducting regular audits.
  • Validate reports generated from the system, identifying and addressing problem areas before dissemination to relevant stakeholders.
  • Communicate system upgrades resulting from policy changes to all users.
  • Engage in projects related to system upgrades and the acquisition of new systems.
  • Actively participate in the development, implementation, and ongoing review of local policies and processes, minimizing disruption to other systems.
  • Address user queries related to the systems, investigating data discrepancies to ensure accuracy and consistency, and perform data cleansing as necessary.
  • Support and train all users, managing workload efficiently to meet deadlines and prioritize tasks effectively.
  • Maintain focus during prolonged analysis of system errors and data reports while remaining adaptable to interruptions.
  • Report system errors with detailed information to the appropriate supplier.
  • Perform administrative tasks as directed by management, serving as a super user for all digital systems within the department.
  • Assist in maintaining departmental quality standards and provide administrative support as needed.
  • Proactively resolve IT-related issues within the department, acting independently and without supervision.
