About the Role

We are seeking a highly organized and detail-oriented Event Coordinator to join our Concerts and Events Operations Team. As a key member of our team, you will provide essential administrative and planning support, coordinating with external stakeholders, suppliers, and venues, across a broad spectrum of tasks during the advance planning and delivery of our projects.

Key Responsibilities
  • Support all aspects of concert and project administration, as directed.
  • Collate all necessary specifications, documentation, and schedules from on-site suppliers to support project management teams.
  • Manage and appropriately share information from an essential and busy production mailbox, essential to the running of the concerts department.
  • Support the Head of Concert Operations and Concert Operations Manager during busy concert schedules.
  • Coordinate procurement processes, from initial briefs and quotes, through to supplier onboarding, contracting, and payment.
  • Take accurate minutes from all project meetings and distribute with the appropriate teams.
  • Liaise with and support temporary staff, students, and volunteers, integrating them into the team and maximizing their experience working with us.
  • Assist the Concert Operations Manager in coordinating rotas for Concert Operations staffing and communicate all onboarding processes.
  • Work onsite during the build, break, and show days to support with the management of the event office, the heart of our events.
  • Support company-wide data capture across our events to ensure we can report on goals and achievements and set future objectives.
  • Help coordinate project team debriefs, collating information to create presentations and reports as required.
