The role of IT Project Administrator is pivotal in ensuring the effective planning, coordination, and execution of diverse initiatives within the IT Division. Reporting directly to the Programme Office Director, this position collaborates closely with senior project managers and various departments to guarantee that projects meet organizational objectives and enhance continuous improvement efforts across processes, systems, and operational practices.
Key Responsibilities:
Project Management
- Assist in the organization and coordination of project activities.
- Support the formulation of project plans and timelines.
- Maintain comprehensive project documentation, including plans, schedules, and reports.
- Track project progress and communicate any issues or risks to the project manager.
Communication and Coordination
- Facilitate effective communication among project team members and stakeholders.
- Organize and schedule project meetings, including agenda preparation and minute-taking.
- Ensure that project deliverables are clearly communicated and understood by all involved parties.
Documentation and Administration
- Keep accurate and current project logs, including action items, risks, issues, and changes.
- Assist in the preparation and distribution of project status updates.
- Manage administrative tasks related to projects, such as data entry, filing, and document management.
Quality Assurance
- Promote a culture of continuous improvement by reviewing outcomes and implementing enhancements.
- Ensure compliance with Standard Operating Procedures (SOPs) across departments, addressing any non-compliance identified during audits with timely corrective actions.
- Adhere to all relevant laws, regulations, and industry standards related to IT and data management.
- Follow project management methodologies and standards diligently.
- Assist in the evaluation and quality control of project outputs.
Personal Development
- Seek guidance from senior team members to enhance leadership, methodology, and interpersonal skills.
- Proactively seek work during quieter periods to assist with administrative tasks.

Tools and Knowledge
- Organize and utilize project management templates and tools effectively.

Skills Required:

Qualifications:
- Educational background in Business, IT, or a related field, or relevant industry experience.

- Familiarity with project management software (e.g., Microsoft Project, Monday.com) is preferred.
