We are a two-partner, friendly practice sharing a Health Centre with two other like-minded practices. Our current list size is 200 patients, and we strive to provide an ethos of openness and integrity while maintaining strict patient confidentiality.
Job Summary
We are seeking a highly organized and communicative Front Desk Administrator to join our team. As a key member of our administrative staff, you will be responsible for providing exceptional patient care and support to our clinical and non-clinical team members.
Main Responsibilities
- Manage and maintain the appointment system, ensuring seamless communication with patients and staff.
- Handle incoming phone calls, transfer calls, or deal with callers' requests in a polite and professional manner.
- Signpost patients to the correct service, providing clear guidance and support.
- Initiate contact with and respond to requests from patients, team members, and external agencies via various communication channels.
- Support new patient registrations, code registration if needed, and upload data as required.
- Maintain patient admin records on SystmOne, updating basic contact information as necessary.
- Manage document workflow on SystmOne, ensuring efficient and secure processing.
- Process patient prescription requests via various channels.
- Manage practice incoming and outgoing post, patient letter collections, and sample collections.
- Maintain a clean, tidy, and effective working area at all times.
- Monitor and maintain the reception waiting area and notice boards.
- Support target and quality admin initiatives.
- Assist with patient recalling and reception workflow tasks on SystemOne.
- Promote internal communication and up-to-date knowledge.
- Provide cover during admin/reception staff absences.
- Complete opening and closing procedures in accordance with the duty rota.
Person Specification
- Qualifications
- DBS (Disclosure Barring Service) check
- GCSE level or equivalent
- Desirable
- GCSE Mathematics & English (C or above)
- AMSPAR Receptionists Qualification
- NVQ Level 2 in Health and Social Care
- Experience
- Experience of working with the general public
- Excellent communication skills (written and oral)
- Strong IT skills
- Competent in use of Office and Outlook
- Effective Time Management (Planning & Organising)
- Able to work as a team member and autonomously
