Join Our Team as a Logistics Operations Coordinator
An exciting opportunity has emerged for a full-time Logistics Operations Coordinator to become a vital part of our Operations team. The ideal candidate will possess a solid background in managing complex and swiftly changing situations within our logistics framework, preferably with experience in the mail, parcels, and courier sectors, although this is not a strict requirement.
Standard Working Hours: 09:00am – 17:00pm
ROLE SUMMARY:
Oversee client service inquiries and manage the administration of consumable deliveries while coordinating collections with suppliers and mailing partners based on operational guidelines. Address and reorganize plans when challenges arise, ensuring timely communication with customers and the Transport Manager. Utilize transport management systems to track and monitor vehicle routes effectively.
KEY RESPONSIBILITIES:
- Daily monitoring of collections and consumable orders.
- Respond promptly and professionally to incoming client service requests.
- Allocate worksheets/job sheets for data auditing and processing.
- Ensure timely receipt of completed worksheets/job sheets from data audit in line with carrier timelines.
- Manage sending and receiving of collection confirmations.
- Compile and finalize forecasts for suppliers.
- Review mailing processes as necessary.
- Prioritize and manage mail directed to the operations inbox.
- Assist the operations team with additional reasonable tasks as needed.
- Schedule collections and transport as required.
- Prepare and submit reports within designated timeframes.
- Develop operational relationships with clients and mailing partners to ensure a seamless daily service.
- Communicate with Business Managers and Client Services regarding any issues or delays affecting customer mailings.
- Utilize mapping and route tracking systems to effectively monitor service levels against daily plans.
- Employ TMS to review plans and address any route deviations.
- Escalate high-risk routes and inform clients of revised collection times.
- Support the transport team by reporting any tracking issues or delays.
- Prioritize high-risk routes or those for new clients.
- Flexibility to work an 8am – 8pm shift pattern may be required.
ABOUT YOU:
- A basic understanding of geography is beneficial but not mandatory, provided there is a willingness to learn.
- Meticulous attention to detail with a commitment to compliance while maintaining high customer service standards.
- Outstanding organizational skills with the ability to manage personal workloads effectively.
- Proficient in Microsoft Office applications, particularly Excel.
- Strong verbal and written communication skills in English, maintaining professionalism with both internal and external colleagues.
- Thrives in a dynamic, fast-paced environment.
- A UK driving license is preferred but not essential.
