We are seeking a highly organized and detail-oriented Facilities Operations Coordinator to support our Head of Facilities in coordinating maintenance, managing relationships with landlords and suppliers, and ensuring seamless operations at JD Gyms Wigan.

The ideal candidate will have strong administrative skills, excellent communication abilities, and the ability to prioritize tasks effectively.

Key Responsibilities:

  • Coordinate purchase ordering for maintenance and capital works, ensuring timely and cost-effective solutions.
  • Manage invoice reconciliation and record keeping, maintaining accurate and up-to-date financial records.
  • Support property function with contractor management, ensuring compliance with company policies and procedures.
  • Liaise with insurers and landlords for claims and disputes, resolving issues efficiently and effectively.
  • Manage general inquiries and departmental administration, providing exceptional customer service and support.
  • Assist in coordinating maintenance activities and capital projects, ensuring smooth execution and timely completion.
  • Support internal departments and clubs efficiently, providing administrative support and guidance as needed.
  • Facilitate team development and hit reporting deadlines, contributing to the success of the facilities team.
  • Drive continuous improvement in systems and processes, identifying areas for improvement and implementing changes as needed.
  • Utilize available systems for team effectiveness, leveraging technology to streamline operations and improve productivity.
  • Maintain databases and log systems, ensuring accurate and up-to-date records and reports.

Requirements:

  • Computer literate with knowledge of Word, Excel, and Access Databases.
  • Strong organizational and administrative skills, with the ability to prioritize tasks effectively.
  • Excellent communication skills at all levels, with the ability to build strong relationships with colleagues and stakeholders.
