Radcliffe Medical Practice is a large and busy general practice seeking a Trainee Reception Supervisor to join our supportive and friendly team. As one of the longest serving general practices in Radcliffe, our practice has a list size of over 10,000 patients. Our clinical team consists of 2 GP Partners, 5 salaried GPs, a nurse practitioner, a paramedic practitioner, 2 practice nurses, 1 trainee practice nurse, and 2 healthcare support workers, all supported by our excellent administration team.

Job Responsibilities

The following are the core responsibilities of the Reception Supervisor that you will learn to undertake as a Trainee Supervisor:

  • Oversee the reception services of the practice, ensuring staff achieve their primary responsibilities.
  • Induce and train all new staff to agreed standards.
  • Supervise all reception staff, supporting staff development, providing guidance and direction, ensuring staff are up to date with mandatory training.
  • Identify and deliver team training where required.
  • Develop, implement, and embed efficient reception processes and procedures to adhere to extant legislation.
  • Manage all deliveries to the practice, ensuring adherence to the cold chain policy as necessary.
  • Act as a focal point for communication, advising reception and administrative staff on methods of communication and best practice.
  • Compile reception staff rotas.
  • Review and update all reception procedures as required.
  • Oversee e-learning of all reception staff.
  • Ensure adequate staffing levels, approve annual leave, and organize rotas, ensuring all functions are covered as required.
  • Deal with more complex enquiries from patients, including informal complaints relating to reception functions.
  • Continually assess and evaluate systems and quality, recommending changes and improvements to the operations manager as appropriate.
  • Manage day-to-day issues that may arise within the team or with individuals.
Reception Duties

The following are the core duties of the Reception Supervisor:

  • Process and effectively signpost patients to the appropriate healthcare professional, depending on the presenting condition.
  • Answer incoming phone calls, transferring calls or dealing with the caller's requests appropriately.
  • Process patient requests for appointments via footfall and incoming phone calls.
  • Provide an excellent standard of customer service on the reception desk.
  • Initiate contact with, and respond to, requests from patients, team members, and external agencies.
  • Enter read-code data on Emis Web.
  • Data entry of new and temporary registrations and relevant patient information as required.
  • Input data into the patient's healthcare records as necessary.
  • Direct requests for information, SAR, insurance/solicitors letters, and DVLA forms to the relevant administrative team.
  • Maintain a clean, tidy, effective working area at all times.
  • Monitor and maintain the reception area and noticeboards.
  • Support all clinical staff with general tasks as requested.
Person Specification

The following are the essential and desirable qualifications and experience for the role:

  • Essential:
    • Education to GCSE level or equivalent.
  • Desirable:
    • Education to A-level equivalent or higher, with relevant experience.
    • Leadership qualification.
  • Experience:
    • Experience of working with the general public.
    • Experience of administrative duties.
  • Desirable:
    • Experience of working in a GP practice or healthcare setting.
    • Experience of working in a team leader role.
