Job Overview

An opportunity has arisen for a full-time Healthcare Administrative Coordinator within the General Surgery Department.

The successful candidate will serve as the primary contact for all administrative matters concerning patients' care pathways. This role involves collaborating with a team to expertly manage the patient journey from referral through to treatment, ensuring a seamless experience throughout.

The post holder will be dedicated to maintaining high levels of satisfaction for both patients and clinicians by being an approachable, customer-oriented, and knowledgeable resource. A consistent application of Standard Operating Procedures (SOPs) will be essential to ensure that all responsibilities are executed accurately and within designated timeframes.

Key Responsibilities

Outpatient Pathway Management:

  1. Efficiently process and document all referrals, including both paper submissions and electronic bookings, adhering to the Trust Access Policy.
  2. Schedule new and follow-up appointments with the most suitable clinicians, optimizing the use of available capacity while overseeing the work of other staff.
  3. Ensure that all necessary diagnostics and investigations are requested and completed prior to patient appointments, including those performed at external facilities.
  4. Coordinate appointments and procedures with other hospitals and organizations as required.
  5. Accurately record clinic outcomes in the Patient Administration System (PAS), including those from offsite locations.
  6. Lead the completion of clinic cancellation forms and manage the processing accordingly.
  7. Reschedule outpatient clinics as needed, in alignment with waiting time targets.
  8. Utilize the Trust's medical transcription system to ensure that urgent correspondence is processed promptly.
  9. Collaborate with patient records personnel, ward clerks, and external organizations to guarantee that all medical documentation is accessible for outpatient consultations, delegating tasks to team members as necessary.
  10. Identify patients on cancer pathways and liaise with Cancer Trackers to ensure appropriate handover.
