Executive Assistant to Managing Partners

Artemis Recruitment Consultants Ltd is seeking an experienced Executive Assistant to support several Managing Partners in our London office. As a key member of our team, you will be responsible for providing administrative support to the Partners, ensuring the smooth operation of the Pod Team Administration, and delivering exceptional client service.

Key Responsibilities:
  • Manage the daily schedule and inbox of the Managing Partners, ensuring timely responses to client inquiries and requests.
  • Coordinate weekly statistics and meetings, uploading data to the CRM and KPI tracker.
  • Provide client servicing, including ensuring clients are signed up to e-briefings and online access, and checking completed LOAs.
  • Send tasks via the CRM system and chase providers and clients for required information.
  • Recommend updates to the CFR in line with Voyant and send tasks to EBS/Paraplanners.
  • Create handovers and send to relevant teams, and chase outstanding funds from clients/providers.
  • Complete actions holding cases up with Admin/Providers, and prepare meeting packs with basic Voyant and expenditure questionnaires.
  • Take meeting notes, complete actions, and keep trackers up to date (LOA, BR, Dlist, Client & Prospect).
  • Monitor and ensure the pod is aligned and working consistently with client processes, minimizing wastage and issues.
  • Develop and maintain regular reports and statistics for monitoring key client administration demands and team performance on KPIs and client operations issue management.
Person Specification:
  • Demonstrable experience of building rapport and interacting with clients effectively.
  • A driven individual with a focus on client service and leading a high-performance culture.
  • Adaptable to change management plans and advocate to business initiatives.
  • Highly skilled and organized to manage multiple case management progress channels.
  • Strong numerical ability to analyze financial data and performance metrics.
  • IT technically proficient, including Office 365.
