Our client, a leading organization in fleet management solutions, is currently seeking a dedicated Fleet Management Administrator to support their operations in Solihull.

The successful candidate will play a crucial role in managing daily documentation for client fleets, ensuring accuracy and compliance while addressing any documentation discrepancies.

Key Responsibilities:

  • Process vehicle SORN declarations as requested by clients, updating tracking systems accordingly.
  • Oversee the management of incoming V5C documents, promptly escalating any missing items to the appropriate contacts.
  • Facilitate the mailing of documents through established postal methods, ensuring tracking numbers and costs are recorded as necessary.
  • Digitally scan, tag, and file documentation such as V5C's, plating certificates, and fine documentation.
  • Administer fuel card processes for clients in line with agreed parameters.
  • Handle fine administration processes for clients, including appeals as required.
  • Manage the addition and removal of vehicles from client MID accounts, conducting audits at specified intervals.
  • Administer VE103B forms and related documents to facilitate foreign travel.
  • Oversee the administration of parking permits and CAZ payments.
  • Manage the addition and removal of vehicles from client parking and toll accounts, auditing these regularly.
  • Administer cherished plate retention and assignment processes, along with replacement plating certificate requests.
  • Reconcile credit card transactions related to fines and taxation, initiating write-off requests as necessary.
Qualifications & Experience:

  • A solid educational background is essential.
  • Proficiency in PC usage, internet navigation, and email communication is required, with the ability to quickly learn new software applications.
  • Intermediate skills in Microsoft Word, Excel, and Outlook are necessary.
  • Prior experience in a similar role is advantageous but not mandatory.
  • Strong numerical and literacy skills are essential.
  • Exceptional administrative capabilities are required.
  • A commitment to achieving high-quality results is expected.
