Fleggburgh Surgery is seeking a dedicated Patient Services Coordinator to become a vital part of our team.

We are in search of a composed and attentive individual who excels in patient interactions, delivering exceptional service in alignment with our operational standards.

Previous experience in a similar role within a healthcare setting is a prerequisite.

Key Responsibilities

Reception Duties

- Greet patients upon arrival and manage appointment scheduling using our electronic system.

- Operate the telephone system to address patient inquiries while ensuring confidentiality is upheld.

- Communicate test results to patients, ensuring consent is obtained beforehand.

- Provide information regarding practice protocols and necessary documentation to new patients and those requiring temporary services.

- Ensure that patients without scheduled appointments who require urgent consultations are accommodated efficiently.

- Respond promptly and courteously to all patient queries and requests for assistance, including home visit requests and handling specimen submissions.

- Coordinate routine home visit requests for physicians and collaborate with associated staff for community visits.

Dispensing Responsibilities

- Process patient prescriptions, including repeat requests.

- Verify exemptions and ensure appropriate signatures are collected.

- Prepare prescriptions, ensuring accuracy in medication and quantity dispensed.

- Collect payments as necessary.

- Maintain stock rotation and inventory control in accordance with dispensary protocols.

- Ensure all dispensing equipment is properly maintained and that medications are stored securely.

- Keep the Controlled Drug Register updated and manage prescription payments and documentation.

- Receive and check orders from suppliers, maintaining accurate records of any bonus stock or discounts received.

- Generate prescriptions for patients not utilizing dispensing services.

- Create private prescriptions, dispense medications, and maintain records of all privately dispensed items.

- Utilize the clinical system to document all repeat requests and any additional necessary information.

- Ensure patient records are current with repeat medication details and monitor requests, reporting any suspected misuse to the Lead GP.

Qualifications

  • A minimum of Grade C or equivalent in Mathematics and English or proven skills.
  • Proficient IT skills.

  • NVQ Level 2 or higher in dispensing services.
