Overview

The Customer Service Trainee plays a vital role in assisting the logistics and procurement operations within the organization, providing essential support to both sectors through customer service and administrative tasks.

This position involves a balanced allocation of time between the logistics and purchasing departments, coordinated by the Logistics Manager in conjunction with the Purchasing Manager.


Customer Service Duties:
  • Manage incoming service requests from external clients, including contractors and distributors, ensuring timely acknowledgment and appropriate responses.
  • Handle service inquiries from internal stakeholders, including various departmental teams and sales personnel, providing necessary feedback and reallocating requests as needed.
  • Process general inquiries, ensuring they are directed to the correct department or individual.
  • Deliver daily updates regarding the status of export orders to all relevant customers.
  • Address and escalate complaints to the appropriate managerial level.
  • Assist with service requests, ensuring responses are provided where information is available, and escalate issues when necessary.

Logistics and Administrative Duties:
  • Support the administration of new projects, including updates to the Master Production Plan to facilitate effective manufacturing scheduling.
  • Maintain and revise the Master Delivery Plan as required.
  • Draft delivery schedules for approval by the Logistics Manager.
  • Coordinate export collections with freight forwarding partners, ensuring all necessary documentation is prepared, including compliance with shipping regulations.
  • Schedule direct deliveries within the UK and manage induction forms as necessary.
  • Communicate any late changes or requests to the dispatch team.
  • Assist with export documentation at relevant trade organizations.
  • Support fleet management by coordinating vehicle service bookings and managing associated documentation.
  • Oversee the administration of vehicle fines and communicate necessary payroll deductions to Human Resources.
  • Facilitate travel arrangements for overseas installations, including flights and accommodations.
  • Issue weekly job schedules to the logistics team.
  • Utilize ERP systems to assist with order-related data management, including the processing of goods received.
  • Support the Purchasing Manager during inventory audits and assist with the shipment of goods as required.
Qualifications

To excel in this role, candidates should possess the following:

  • A secondary school education with GCSEs in Mathematics and English at grades A-C or equivalent.
  • A willingness to engage in a customer service apprenticeship in collaboration with a local educational institution, gaining practical experience and formal qualifications.
  • Basic proficiency in Microsoft Office applications.
  • Strong communication skills, both written and verbal.
  • Ability to thrive in a dynamic office environment.
  • Exceptional attention to detail and organizational skills, with the capability to manage multiple tasks simultaneously.
  • Strong interpersonal skills, with the ability to work independently and collaboratively within a team.
Language Proficiency

Ability to comprehend and interpret various documents, including safety protocols and operational manuals, as well as the capacity to draft routine correspondence.
