Position Overview
Located at our Headington campus and reporting directly to the Chief People Officer, the Executive Assistant will deliver extensive, professional, and confidential administrative assistance. This position serves as the primary point of contact for the Chief People Officer, necessitating a high degree of tact, discretion, and a friendly, positive demeanor.
Team Dynamics
The People Directorate supports all Facilities and Directorates and comprises around 70 dedicated staff members. Based on the Headington Hill campus, the team offers guidance and expertise in areas such as employee relations, compensation and benefits, recruitment, equality, diversity and inclusion, and organizational development.
Key Responsibilities
- As the Executive Assistant to the Chief People Officer, your responsibilities will include:
- Delivering comprehensive, professional, and confidential administrative support to the Chief People Officer (and, when necessary, the Registrar and Chief Operating Officer).
- Preparing and organizing documents while ensuring timely submissions for significant university committees (e.g., Board of Governors, People Committee, Senior Academic Promotions Committee, VCG Recruitment Panel).
- Assisting the Directorate Senior Management Team with various tasks.
- Managing electronic calendars and coordinating meetings with relevant participants (both internal and external).
- Prioritizing and directing incoming communications, responding to letters and emails, and drafting replies as appropriate.
- Supporting administrative tasks as directed by the Chief People Officer, including long service awards, university pay schemes, and welcome events (in collaboration with other team members).
Required Skills and Experience
- The ideal candidate will possess the following qualifications:
- A strong educational background, including exceptional written English and solid numeracy skills.
- Proficiency in Google applications, Microsoft Office Suite, including Word, Excel, and PowerPoint.
- Proven ability in proofreading and drafting documents/presentations, along with experience in financial transactions and budget monitoring.
- Demonstrated experience as a senior PA/Executive Assistant supporting a high-level executive.
- Capability to work independently and manage sensitive corporate information effectively.
- Exceptional attention to detail, combined with the ability to perform under pressure in a dynamic office environment.
Work Environment
Situated at our Headington campus, you will enjoy a vibrant campus atmosphere and benefit from a modern office setting. The campus is conveniently located and accessible via regular public transport. This role will offer a hybrid working arrangement, with an expectation of being on campus 1-2 days per week.
Salary: £34,980, with annual increments up to £38,205.
