Job Overview

The primary objective of this role is to deliver exceptional administrative support to the Site, ensuring smooth operations and effective communication. This includes meticulous management of the schedules for the Clinical Director, Lead Manager, and Matron.

Key Responsibilities

You will be responsible for the comprehensive coordination of Directorate and North Wales meetings, which encompasses room reservations, agenda preparation, and the accurate transcription of official minutes.

Additionally, you will provide a robust secretarial service to senior management within the Women's Directorate, including support for the Clinical Director, Consultant Midwife, Lead Manager, Inpatient Manager, and General Manager.

Proficiency in Welsh is preferred for this position; however, applications from both Welsh and English speakers are encouraged.

Responsibilities in Detail

- Maintain an up-to-date understanding of the responsibilities associated with senior management roles.

- Schedule and organize meetings, ensuring all necessary attendees are invited and suitable venues are arranged.

- Oversee the electronic calendars of the Lead Manager and Matron, managing appointments, meeting bookings, and necessary adjustments based on priority.

- Ensure that the Lead Manager and Matron are well-prepared with all required documentation ahead of meetings.

Qualifications and Skills

Essential

  • Proficiency in typing/word processing (RSA III or equivalent)
  • GCSE A-C in English & Maths or equivalent experience

Desirable

  • NVQ in Business Administration Level 2 or equivalent
  • Familiarity with Microsoft Office Suite (Word, Excel, Outlook)

  • Extensive clerical and secretarial experience
  • Proven track record in coordinating administrative tasks

  • Previous experience within the NHS
  • Experience in establishing and managing filing and IT systems
  • Ability to engage effectively with various departments and agencies
