Job Overview

We are seeking a meticulous and skilled Accounts Payable Manager to enhance our finance team. The ideal candidate will oversee the accounts payable function, ensuring precise and prompt processing of invoices and payments while fostering strong relationships with vendors and internal partners.

We are in search of a friendly and approachable individual with outstanding communication abilities, along with the following qualifications:

  • Minimum of 1 year of experience in accounts payable or general accounting.
  • Proficient computer skills, including Outlook, Word, Excel, V-Lookups, and Pivot tables.
  • Highly organized, dependable, and accurate with numerical data.
  • Capability to prioritize tasks, manage multiple responsibilities, and oversee projects.
  • A strong team player with a solid work ethic, maintaining professionalism at all times.
  • Excellent written and verbal communication skills.
  • Completion of studies to AAT Level 2 or equivalent.
  • Experience with Access Dimensions is preferred.
  • Familiarity with Concur is advantageous.

Key Responsibilities

The primary duties will include, but are not limited to:

  • Authorizing all invoices appropriately.
  • Coding invoices to the correct entities, business units, and departments.
  • Scanning and filing purchase ledger invoices.
  • Executing weekly and monthly payment runs (BACs, CHAPS, foreign currency) and entering payments into the online banking system.
  • Allocating payments to designated supplier accounts on a weekly basis.
  • Managing and processing direct debits.
  • Reconciling monthly supplier statements.
  • Monitoring the Accounts Payable Mailbox and incoming correspondence daily.
  • Addressing supplier account inquiries via phone, email, and fax, resolving issues promptly and liaising with suppliers regarding payment concerns and missing invoices.
  • Conducting weekly and monthly bank reconciliations for multiple accounts.
  • Processing employee expenses through Concur and preparing monthly payment runs.
  • Coding and uploading company credit card transactions.
  • Reconciling intercompany general ledger accounts on a monthly basis.
  • Generating ad-hoc sales invoices for other entities as needed.
  • Maintaining a procedure manual for accounts payable tasks to assist backup personnel when necessary.
  • Upholding and enforcing accounting process disciplines while managing responsibilities to strict deadlines.
  • Preparing and assisting with reports required by the business.
  • Ensuring an accurate and efficient filing system.
  • Collaborating closely with both finance and non-finance team members.
  • Performing ad hoc duties as assigned by the line manager or senior finance management team.
