Job Title: Facilities Manager

Job Summary:

We are seeking a highly skilled Facilities Manager to join our team at Ridge & Partners LLP. As a key member of our operations team, you will be responsible for managing our facilities management contracts, ensuring that our clients receive exceptional service and value for money.

Key Responsibilities:

  • Contract Management: Manage all facility management contracts, specifically Total Facilities Management contract, to ensure that they continue to meet facility management needs and offer value for money.
  • Performance Metrics: Collect and analyze performance metrics to ensure that suppliers meet contractual obligations, including service level agreement targets.
  • Contract Review: Review contracts to ensure that they continue to meet facility management needs and offer value for money.
  • Supplier Improvement: Identify supplier service improvement actions to deliver enhanced provision and/or performance.
  • Service Review Meetings: Hold service review meetings with key suppliers to ensure that deliveries are in accordance with the contracted provision.
  • Invoice Verification: Verify, challenge, and approve the payment of supplier invoices.
  • Service Perception: Measure the perceptions of how services are delivered and consumed to inform service improvement activities.
  • Issue Escalation: Act as the point of escalation for issues relating to facility management contracts.
  • Contract Performance Review: Review all aspects of contractual performance to ensure that lessons are learned by both external and internal stakeholders.
  • Weekly Meetings: Hold weekly meetings with contracted support.
  • Issue Reporting: Report any issues in a timely manner.
  • Contract Negotiation: Negotiate with suppliers to resolve contractual issues.
  • Statement of Requirement: Feed into Statements of Requirement to ensure that ongoing support needs are satisfied.
  • Supplier Evaluation: Evaluate supplier submissions to ensure that third-party support provision is fit for purpose.
  • Stakeholder Management: Regularly meet with internal stakeholders, ensuring a firm understanding of their requirements and the fulfilment of these requirements.
  • Client Satisfaction: Conduct regular surveys with the client's staff to assess service and adjust facility management contracts.
  • Contract Management: Act as focal point for all facility management hard service contracts and second point of contact for soft service contracts.
  • Budget Forecasting: Assist in the forecasting of the facility management budget.
  • Risk Assessment: Conduct and approve Risk Assessments and Method Statements.
  • Reporting: Provide reporting stats on FM contracts and suppliers as required.
  • Audit Support: Support the client with all facility management audit requirements.
  • Intranet Management: Manage facility management intranet pages.

Requirements:

  • Experience: Proven experience in Facilities Management with specialist knowledge of hard services.
  • Contract Management: Experience in managing a total facilities management contract.
  • SAP Experience: SAP experience.
  • Interpersonal Skills: Good interpersonal skills to establish and maintain working relationships.
